What we do

Four kinds of work.

Most of our work starts the same way: something important is being held together by spreadsheets, memory and goodwill, and it has stopped scaling. We turn that into a system — usually on top of the tools the business already pays for.

Workflow and document automation

For practices that handle regulated paperwork at volume. We take what arrives — forms, statements, invoices, client packs — pull out the fields that matter, check them against the rules that apply, and route anything uncertain to a person. The goal is never to remove professional judgement. It is to stop that judgement being spent on data entry, and to point it at the items that genuinely need review.

Systems integration and reporting

Most businesses do not need another system. They need the ones they already pay for to agree with each other. We connect point of sale, online store, inventory and accounting into one view, then build the reporting that view was always supposed to produce — including the uncomfortable numbers, like how much capital is sitting in stock nobody has looked at for a year.

Reporting is where most projects stop. The step after it is being able to ask your own data a question in plain language — why did margin move, which clients are slipping, what changed since last quarter — and get an answer that shows its working, so you can check it before you act on it.

Customer and member platforms

Booking, membership, loyalty and online ordering, plus the CRM and marketing automation behind them. Built as your own system on your own infrastructure, so the customer relationship and the data stay with you rather than with a platform that raises its rates once you depend on it.

Where it genuinely needs to be an app rather than a website, we build iOS and Android from a single codebase against the same backend your staff already use, so there is one set of products, prices and orders — not three.

Compliance-driven record keeping

Some processes exist so that, years later, somebody can prove what happened and when. We digitise those processes so the record is produced automatically as the work is done, rather than reconstructed under pressure afterwards.

To be clear about the boundary: we digitise the process your advisers have defined, and make sure it leaves a complete trail. We do not certify that the process itself meets your obligations — that stays with you and your advisers.

Fleet operations

Compliance records flagged before they expire

Registrations, inspections and driver licences were tracked in spreadsheets, so somebody had to remember to look. Vehicle records, expiry dates and vehicle location now sit together, the system flags what is coming due, and long back-and-forth with drivers is summarised down to the actions the operator needs to take.

Training and education

Enrolment, attendance and pay from one record

Enrolment, class rolls and staff timesheets had grown into separate spreadsheets per site, and they had stopped agreeing with each other. They now sit on one system, so the enrolment, the roll a student was marked on and the hours a teacher is paid for are drawn from the same record.

Recruitment

Candidate documents checked before review

Roles with eligibility and certification requirements meant every candidate arrived with paperwork, and most of the effort went into chasing it. The system reads applications against the criteria for the role, asks candidates for what is missing, and checks the documents that come back against what the role requires. Anything it cannot confirm goes to a person — it prepares the file for review, it does not decide who gets hired.

Answers linked to the source document

Years of contracts, procedures and compliance records had accumulated to the point where knowing something existed was harder than reading it. Staff can now ask a question in plain language and get an answer with the source document attached, so it can be checked before anyone relies on it.

Public websites

Enquiry and payment happen on the site

Two ends of the same job: a corporate site held to the standard of how the business presents itself publicly, and an education site where enrolment and payment happen on the page instead of over the phone.

Ownership

Your data stays yours.

Most software you rent gets more expensive the more you come to depend on it, and the customer list you spent years building is precisely the thing that stops you leaving. We build so that leaving stays possible.

Your accounts, your billing
Hosting, domains and third-party services sit under your own accounts and your own card wherever it is practical. If we part ways, the accounts stay where they are, and we transfer access along with the configuration and documentation needed to keep the system running.
AI runs on your own key
Where a frontier model is involved, it runs under your own API account. Before anything goes live we go through the provider's retention and training controls with you and agree the settings. The system is built to hold your content only for as long as it needs it.
Never pooled, never resold
We do not aggregate data across clients, we do not sell it, and we do not build products out of what we see inside your business. What we learn working with you is judgement, not inventory.

How we work

Three stages. You decide at each one.

A failed prototype gives you an answer. A working one creates a second question — what will it take to make this dependable, every day, on real data — and that question is usually asked after everyone has already got excited. So we put a decision point between the two.

Stage 1 · From $1,500 + GST

Scoping sprint

We map the workflow as it actually runs, test the parts most likely to break, and come back with a written scope and a firm price. If it isn't worth doing, this is where we say so — a good outcome for a small fee.

The fee is set by how many workflows and systems are in scope.

Stage 2 · Fixed price, locked after Stage 1

Build and launch

Built, tested against your real data, and handed over with your team trained on it. Priced against the agreed scope, not against hours — if the build takes longer than we thought, that is our problem. If you change the scope, you hear the cost before we start the work.

Stage 3 · Monthly

Run and improve

Systems drift — suppliers change formats, regulators change rules, models change behaviour. Stage 3 keeps it accurate and supported, and folds in what your team asks for once they have lived with it.

AI is the newest tool, not the reason we exist.

Praxis Arc was established in 2026. Its founder has spent more than twenty years designing, building and running business systems — across accounting, property, retail, wellness, recruitment, hospitality, financial advice and resources. We started applying AI where its accuracy could be tested in a live system, with someone accountable for the result.

That history is why we are comfortable telling you when AI is not the answer. A good deal of what we deliver is a better-designed process and a properly connected pair of systems, with no model involved at all.

How we operate

Built on what you already pay for
Replacing a working system is expensive and rarely necessary. We connect and extend before we replace, and we will say so when replacement really is the cheaper path.
AI where it can be measured
If we cannot state how accurate something is on your data, and show you which cases it gets wrong, it does not go into production. Uncertain cases get routed to a person by design.
A fixed price before you commit
Open-ended hourly work transfers all the risk to the client. We do the investigation first, at a fixed fee, then quote the build firmly.
Your data, your accounts
Wherever practical, hosting and third-party services sit under your own accounts and your own billing. If we part ways, those accounts stay where they are and we transfer access to you.
The person who scopes it builds it
No handover from the people who sold the work to the people doing it. This keeps us honest about what we promise, because we are the ones who have to deliver it.
